Exhibit Hall Hours

NAEM has increased the exhibit hall time this year to seven hours; there will be seven dedicated exhibit hall sessions with no competing content. Plus, each sponsor company will have additional opportunities to meet with prospective or current clients at the B2B Lunch and the Thursday Night Networking Reception & Dinner at the Rock & Roll Hall of Fame.

As we develop the program, the specific times could change but the amount of time in the exhibit hall will not.

wednesday, October 25
  • Exhibit Hall Session #1 - 7:30 a.m. - 8:30 a.m. ET
  • Exhibit Hall Session #2 - 9:45 a.m. - 10:40 a.m. ET
  • Exhibit Hall Session #3 - 2:30 p.m. - 3:30 p.m. ET
  • Exhibit Hall Session #4 - 5:00 p.m. - 6:30 p.m. ET

thursday, October 26
  • Exhibit Hall Session #5 - 7:30 a.m. - 8:30 a.m. ET
  • Exhibit Hall Session #6 - 9:45 a.m. - 10:30 a.m. ET
  • Exhibit Hall Session #7 - 11:45 a.m. - 12:30 p.m. ET
  • B2B Lunch - 12:30 p.m. - 1:30 p.m. ET (All sponsors are invited to attend. Platinum and Gold sponsors will have reserved tables with 10 seats to invite others to sit with them)
  • Networking Reception at Rock & Roll Hall of Fame - 6:30 p.m. - 10:00 p.m. ET (All sponsors are invited to attend)

Exhibit Hall Set Up & Tear Down Instructions:
  • Exhibit set up time will be on Tuesday, October 24, 2023, from 12:00 p.m. - 4:00 p.m. so that Affiliate Council (AC) members can make the 4 p.m. AC meeting. However, if you need more time to set up, the doors will remain open until 5 p.m.
  • Dismantling and move out begins Thursday, October 26, 2023, from 12:30 p.m. - 5:00 p.m. All booth materials must be removed and/or consigned for shipment from the exhibit area by 5pm that night. The B2B Lunch is 12:30-1:30 p.m., so we expect most people will start teardown after lunch at 1:30 p.m. Platinum and Gold sponsors are required to attend the B2B lunch as they will have tables reserved with 10 seats for their guests and those at the conference from their company.
PLAN ON REMAINING UNTIL THE SHOW OFFICIALLY CLOSES – EARLY TEARDOWN IS NOT PERMITTED.

Booths:

All booths are 10’x10’ feet in size in size with a 3’ high side rail and a 6’ high back drape. All booths come with:
  • 6’ draped table with two chairs
  • Wastebasket
  • 7" x 44" ID Sign with company name

Exhibit hall space is assigned in a first come, first served order. For example, the first Platinum to purchase their sponsorship will receive the most prominent spot in the Platinum section of the exhibit hall, the second Platinum to purchase their sponsorship the second most prominent spot and so forth.

We will do our best to honor requests to be separated from competitors but due to the random purchasing order of sponsorships and the small exhibit hall space we are not able to honor all requests. Please email [sales at naem dot org] with any questions.
